These fields are available in the Nomination form, listed in alphabetical order by section.
In the software, the required fields are marked with an asterisk (*). Since each company can have its own required fields, please look for the asterisk (*) for the required fields.
| ▪ | Business Group: The operator's business group responsible for the nomination. |
| ▪ | Created By: The user who created the nomination. |
| ▪ | Created Date: The date and time the nomination was created. |
| ▪ | Declined Nomination Threshold: The number of hours within which a declined nomination must be reassigned to another inspection company. |
| ▪ | Desk: The operator's desk responsible for the nomination. |
| ▪ | Inspection Results Turnaround Threshold: The hours within which the inspection worksheet is due. |
| ▪ | Inspector Response Threshold: The hours within which the inspection company must respond to the nomination request. |
| ▪ | Issued Date: The date and time the nomination was issued to inspectors. |
| ▪ | Legal Entity: The operator's legal entity responsible for the nomination. |
| ▪ | Modified By: The user who last modified the nomination. |
| ▪ | Modified Date: The date and time the nomination was last modified. |
| ▪ | Nomination Number: A read-only field that acts as a unique reference number for the nomination in the system. |
| ▪ | Nomination Type: The type of nomination. For more information, see Nomination Types. |
| ▪ | Operator: The user who is responsible for the nomination, including contact information. This operator can be different from the user who created the nomination. |
| ▪ | Other Reference: Any additional references you have for the nomination. |
| ▪ | Region: The operator's region responsible for the nomination. |
| ▪ | Trip is TBD: A checkbox used to indicate that the trip number is still undetermined. Once the number is determined, clear this checkbox and use the Trip Number field. |
| ▪ | Trip Number: The number you enter to track your voyage or transfer. |
| ▪ | Version: A read-only revision number of the nomination. |

| • | Activity: The activity for this parcel. The activities available depend on the nomination type. |
| • | Agent details: Name of the ship's agent, for Marine nominations. |
| • | Are you Importer/Exporter of Record: If Importer is selected, you must complete the Source Location field. If Exporter is selected, you must complete the Destination field. If you enter a mother vessel to indicate a Ship to Ship/Lightering movement, this field must be set to N/A (not applicable). |
| • | Contract Number: Your contract number under which the parcel's buy or sell deal was made. |
| • | Delivery Terms: The delivery terms for this parcel. |
| • | Destination: The location where the product will be discharged, for loads. Or pumped to, for Pipeline/Pump nominations. |
| • | Email inspection results to: The email addresses to use as recipient list for emailing the inspection results worksheet. |
| • | End Date: The date for the pumping to end, for |
| • | Pipeline nominations. Or the last date the vessel is expected to arrive at the location, for Marine nominations. |
| • | ETA: The date and time for the sampling or when the vessel is estimated to arrive. For Marine and Sample nominations. |
| • | ETD: The date and time the transport is estimated to depart. For Marine nominations. |
| • | From Tank: The description or number of the tank from which the product is loaded or pumped. |
| • | Load/Discharge Instructions: Instructions for loading or discharge. |
| • | Location: The location where the loading, discharging, pumping, or sampling takes place. |
| • | Mother Vessel: The name of the vessel that lightered to the daughter vessel. |
| • | Nominated Quantity: The estimated amount of product to be loaded, discharged, sampled, or pumped. |
| • | Parcel comments: Comments about the parcel. |
| • | Parcel Reference: Your reference number for the parcel or tank sample. |
| • | Product Type: The type of product being moved or sampled. |
| • | Quantity UOM: The unit of measure for the parcel's quantity. |
| • | Receiver: The company who is receiving the parcel. For a discharge only. |
| • | Source Location: The location where the product is loaded, for loads. Or pumped from, for Pipeline/Pump nominations. |
| • | Start Date: The date for the pumping to begin, for Pipeline nominations. Or the first date the vessel is expected to arrive at the location, for Marine nominations. |
| • | Supplier: The company who supplied the parcel. For a load parcel only. |
| • | To Tank: The description or number of the tank to which the product is discharged or pumped. |
| • | Tolerance: The range of quantity allowed by the contract, expressed as a plus/minus percentage or a min/max quantity amount. |
| • | Total Quantity: For multi-vessel parcels, the total estimated amount of product across all vessels. |
| • | Transport Name: The transport's name used in the nomination. You can replicate this name to other parcels by clicking . You can then select the parcels to replicate the information to. |
| • | Voyage Number: The voyage number assigned to the vessel. |

| ▪ | % Split: The percentage of the inspection cost assigned to the invoice party. |
| ▪ | Quantity/Quality: If the cost is split between quality and quantity, indicates the cost split is for quantity, quality, or both. You can also select Other if you do not want to use quality and quantity. |
| ▪ | Bill Invoice To: Select your own company name or select Other. If you select Other, in the next field, select the company to invoice. |
| ▪ | Contact/Comment: Any contact information or comments for this cost split. |

These internal cost allocations are for the operator company only and do not affect the inspection company. This information is not visible to inspection companies.
| ▪ | % Allocation: The percentage of the inspection cost assigned to the internal cost center. |
| ▪ | Internal Party: The name of the internal cost center the inspection cost is allocated to. |
| ▪ | Comment: Any comments on this internal cost split. |
| ▪ | Chain/Cost Center: The cost center responsible for the invoice payment. |
| ▪ | On Charge Party: If available, the on charge party in the cost center responsible for the invoice payment. |
| ▪ | % Split: The percentage of the % Allocation that the Chain/Cost Center must pay. |
| ▪ | Comment: Any comment for the Cost Center for the invoice payment. |

| ▪ | Inspection Company: The company nominated to perform the inspection. |
| ▪ | Hub Office: The hub office which coordinates the inspection work for the inspection company. |
| ▪ | Local Office: The local office which coordinates the inspection work for the inspection company. |
| ▪ | Coordinator: The contact person at the hub office, including contact information. |
| ▪ | Inspector Acceptance Status: The inspector’s current acceptance status. |
| ▪ | Response Due Date: The date and time a response is expected from the inspection company. |
| ▪ | Quantity Inspection Required: Indicates that a quantity inspection is required. Selecting Yes affects the quantity section of the inspection worksheet. |
| ▪ | Quality Inspection Required: Indicates that a quality inspection is required. Selecting Yes affects the quality section of the inspection worksheet. |
| ▪ | Time Log Required: Indicated if a time log is required. Selecting Yes affects the time log. |
| ▪ | You can replicate this information to other parcels by clicking . You can then select the parcels to replicate the information to. |

| ▪ | Volume measurements to report: Indicates items to measure in the Inspection Worksheet’s quantity matrix. |
| ▪ | Units to report: Indicates the required units of measurements in the Inspection Worksheet’s quantity matrix. |
|
You can add more than one set, quality test, or slate for a parcel. To add a slate or test, enter a slate name or test name in the Add Slate or Add Test fields, respectively. If you wish to search using region, grade, or method, use the Advanced Search utility.
| ▪ | Additional Test: Instruction to Inspector that an additional test has been added that may be outside the standard tests requested. |
| ▪ | Comment: Comment specific to this test. |
| ▪ | Description: A description for the set of quality tests. |
| ▪ | Methods: Possible test methods to use when performing the test. To filter the tests, enter a Method value. The tests available will be filtered by the method. |
| ▪ | Max spec for buy: High limit of buy specification for the result. |
| ▪ | Max spec for sell: High limit of sell specification for the result. |
| ▪ | Min spec for buy: Low limit of buy specification for the result. |
| ▪ | Min spec for sell: Low limit of sell specification for the result. |
| ▪ | Original Slate Used: The slate included in the nomination. |
| ▪ | Quality Test Comments: Comments for this set of quality tests. |
| ▪ | Report only: Instruction to the inspector to just report the results. |
| ▪ | Required: Indicates that the test is mandatory. |
| ▪ | Sample Location: A description of where the samples should be taken. |
| ▪ | Test: Name of the quality test to perform. To filter the tests, enter a Method value first, then use this field to select a test. |
| ▪ | Typical: Typical result for this test. |

| ▪ | Inspection Appointment: Instructions for the inspection work. |
| ▪ | Documentary Instructions: Instructions for documenting the inspection work. |
| ▪ | Framework Agreement Reference: Description of the legal agreement between parties for the work. |
| ▪ | Additional Comments: Any other comments for this nomination. |
